How to Find Reliable Suppliers Abroad and Avoid Trade Scams

Buying from a supplier in another country can open up better products and prices. It can also go wrong if you trust the wrong company. Most problems can be avoided with a few simple checks before you send money.

Where to Find Suppliers

  • Trade fairs and exhibitions: meeting suppliers face to face is still one of the best ways to judge them.
  • Chambers of commerce and trade bodies: many keep member lists and can confirm if a company is registered.
  • Government trade promotion offices: embassies and trade departments often help buyers connect with exporters.
  • Online B2B platforms: useful for a first search, but always verify the company outside the platform.
  • Referrals: other buyers and freight forwarders often know which suppliers are reliable.

Checks Before You Order

  1. Company registration: ask for registration documents and check them with the official registry where possible.
  2. Physical address: make sure the company has a real office, warehouse or factory. A video call or a visit helps.
  3. Bank details: the bank account should be in the same company name as the contract and invoice.
  4. Samples: pay for samples if needed. A supplier who refuses samples for a serious order is a warning sign.
  5. References: ask for contacts of other buyers, and actually call them.
  6. Written contract: agree product specifications, quantity, price, Incoterm, delivery date and payment terms in writing.

Common Warning Signs

  • Prices that are far below the market for the same quality.
  • Pressure to pay quickly “before the price goes up”.
  • A sudden change of bank details by email. Always confirm by phone with a known contact.
  • Only free email addresses and no company website or registration.
  • Unwillingness to share samples, photos of stock or a video call.

Safer Payment Options

For new suppliers, avoid paying 100% in advance. Common safer options include a small deposit with the balance against shipping documents, payment through a bank using documentary collection, or a letter of credit for larger orders. Talk to your bank about which option suits your trade.

Use Inspection When It Matters

For larger orders, a pre-shipment inspection by an independent agency can check quality, quantity and packing before the goods leave. The cost is small compared with the risk of receiving the wrong product.
